Wild Fit Free retreats are designed to provide a welcoming, safe, respectful and enjoyable experience for every guest.
This Code of Conduct applies throughout the retreat, including during accommodation stays, transfers, meals, activities, pickleball sessions, excursions, social events and interactions with local communities.
1. Respectful Behaviour
Guests must treat the following people with courtesy and respect:
- Other guests;
- WFF team members;
- Coaches and guides;
- Accommodation and restaurant staff;
- Drivers and activity providers;
- Local residents and community members; and
- Members of the public.
Abusive, threatening, intimidating, discriminatory, humiliating or deliberately offensive conduct will not be accepted.
2. Inclusion and Personal Boundaries
WFF welcomes guests from different countries, cultures and backgrounds.
Guests must:
- Respect personal boundaries;
- Avoid unwanted physical contact;
- Avoid sexual harassment or inappropriate advances;
- Refrain from bullying or exclusionary behaviour;
- Respect different abilities and levels of sporting experience; and
- Avoid discriminatory comments or conduct based on race, nationality, sex, gender, disability, age, religion or another protected characteristic.
3. Pickleball and Sporting Conduct
During pickleball and other sporting activities, guests must:
- Demonstrate good sportsmanship;
- Respect coaches, officials, partners and opponents;
- Play at a level appropriate to their ability;
- Follow court and venue rules;
- Use equipment responsibly;
- Avoid deliberately dangerous or aggressive play; and
- Support a positive and encouraging group environment.
Disagreements should be handled calmly and respectfully.
4. Health and Safety
Guests must:
- Follow reasonable instructions from WFF and activity providers;
- Wear required safety equipment;
- Report hazards, illness or injury promptly;
- Avoid behaviour that places another person at unnecessary risk;
- Refrain from participating when medically unfit or impaired;
- Remain within instructed areas during activities; and
- Respect weather, wildlife, water and environmental warnings.
Guests must not interfere with emergency equipment, safety equipment or another person’s medication.
5. Alcohol and Illegal Substances
Guests who consume alcohol must do so responsibly.
WFF may prevent a guest from participating in an activity where the guest appears intoxicated, impaired or unable to participate safely.
The possession, use or supply of illegal drugs is prohibited.
Excessive intoxication, aggressive conduct, dangerous behaviour or disruption caused by alcohol or substances may result in removal from an activity or the retreat.
6. Accommodation and Property
Guests must:
- Respect the accommodation and facilities provided;
- Follow house rules;
- Avoid unreasonable noise or disturbance;
- Keep shared areas reasonably tidy;
- Obtain permission before inviting an outside visitor onto the property;
- Refrain from smoking or vaping in prohibited areas; and
- Report accidental damage promptly.
Guests may be held responsible for damage or loss caused by their deliberate, reckless or negligent conduct.
7. Attendance and Punctuality
Guests should arrive punctually for scheduled transfers, activities and group departures.
Where a guest is late:
- The group may depart without them;
- WFF may not be able to rearrange the missed service;
- The guest may need to arrange alternative transport at their own cost; and
- No refund is guaranteed for a missed activity.
Guests should inform a WFF representative as soon as possible if they will not attend a scheduled activity.
8. Privacy and Photography
Guests should respect the privacy of others.
Do not:
- Enter another guest’s room without permission;
- Share another guest’s private or medical information;
- Record private conversations without consent;
- Post embarrassing, intimate or sensitive images of another person; or
- photograph or film another guest after that guest has asked not to be recorded.
Guests may take ordinary personal holiday photographs, provided they do so respectfully and comply with venue or activity restrictions.
Commercial photography, organised interviews or promotional recording require WFF’s prior permission.
9. Confidential and Personal Information
Guests must not misuse personal information obtained during the retreat.
Contact details, medical information, room information and private conversations should not be shared without the person’s permission, except where disclosure is reasonably necessary for safety or an emergency.
10. Local Communities, Wildlife and the Environment
Guests must:
- Respect South African laws, customs and communities;
- Follow wildlife and conservation instructions;
- Avoid feeding, touching or approaching animals unless expressly permitted;
- Refrain from littering or damaging the environment;
- Avoid removing plants, wildlife or natural materials;
- Use water and other resources responsibly; and
- Treat cultural sites and local businesses respectfully.
11. Complaints and Concerns
Guests should raise concerns privately with a WFF representative as soon as possible.
WFF will take reasonable steps to address concerns discreetly and fairly.
Guests must not respond to a disagreement through threats, harassment, retaliation or public humiliation of another guest or staff member.
Nothing prevents a guest from making an honest complaint or exercising a lawful right.
12. Unacceptable Conduct
Conduct that may result in immediate action includes:
- Violence or threats of violence;
- Harassment or sexual misconduct;
- Bullying or discrimination;
- Theft, fraud or deliberate property damage;
- Possession or supply of illegal drugs;
- Serious intoxication or repeated disruptive behaviour;
- Deliberate disregard of safety instructions;
- Conduct placing another person at significant risk;
- Abuse of WFF staff, suppliers or guests; or
- Serious or repeated breaches of this Code.
13. How WFF May Respond
Depending on the seriousness of the conduct, WFF may:
- Speak privately with the guest;
- Issue a verbal or written warning;
- Require an apology or corrective action;
- Exclude the guest from a particular activity;
- Change seating, rooming or group arrangements where reasonably possible;
- Contact an emergency contact or appropriate authority;
- Require the guest to leave an activity, venue or accommodation; or
- Terminate the guest’s participation in the retreat.
Except in serious or urgent situations, WFF will normally explain the concern and allow the guest a reasonable opportunity to correct their behaviour.
14. Removal from the Retreat
A guest may be required to leave the retreat where WFF reasonably considers that the guest’s conduct:
- Presents a safety risk;
- Is unlawful;
- Is seriously abusive, threatening or disruptive;
- Has caused material harm to another person or property; or
- Continues after a reasonable warning.
A guest removed for serious misconduct may be responsible for arranging and paying for:
- Alternative accommodation;
- Transport;
- Flights or onward travel;
- Medical or security assistance; and
- Other costs resulting from the removal.
Any refund or cancellation consequences will be determined in accordance with the WFF Terms and Conditions, Cancellation Policy and applicable law.
15. Reporting Serious Incidents
Serious misconduct, injury, criminal conduct or safety concerns should be reported immediately to a WFF representative.
WFF may report a matter to:
- Venue security;
- Emergency services;
- Medical professionals;
- The South African Police Service;
- A relevant supplier; or
- Another appropriate authority.
16. Acceptance
By accepting this Code of Conduct, I confirm that:
- I have read and understood it;
- I agree to treat others respectfully;
- I agree to follow reasonable safety and operational instructions;
- I understand that serious misconduct may result in my removal from an activity or retreat; and
- I accept responsibility for costs arising from my own serious misconduct, subject to applicable law.
